As part of the Directors Support Team you will play a pivotal role in ensuring that Central Region delivers Border Forces strategic objectives.

Central Region covers a wide geographical area including: Southend, London Gateway, Tilbury, Stansted, London City, Luton, Birmingham, East Midlands Airport, Norwich, Felixstowe, Harwich and the postal hubs of Coventry International and Heathrow Worldwide Distribution Centre.

It is expected that the post holder will be willing to travel to all these locations in order to gain an understanding of the work that they do and the support that they need.

Stansted is not in a central location so candidates should give careful consideration to their circumstances and the length of their journey to work before applying for the post. The post is flexible working but does not attract any AHW.

Applicants for the post will need to be flexible and accept that their working priorities will change according to the business needs.

You will lead a small team managing requests from the Directors and wider Leadership Team, Director General and Chief Operating Officer. You will ensure that complaints, MP’s letters and FOI requests are dealt with promptly and effectively. You will also oversee visit requests, ensuring that they are organised to meet their specific aims and objectives.

You will be providing support to one of the Central Region Deputy Directors (DD). You will have access to their inbox and calendar and will be expected to maintain the workflow of emails and meeting requests. This will mean a general understanding is required of the meetings, projects and any other work your DD is involved in. You will be tasked with arranging meetings with various stakeholders, arranging venues, travel arrangements and organising their week forward commitments. You will also be required to travel with your DD to several their meetings and act as secretariat.

This post requires an enthusiastic individual who has excellent communication, interpersonal and organisational skills, who can work well with others and build effective working relationships. The jobholder must be flexible and able to work in a pressurised environment, meet tight deadlines and use their own initiative and judgement to react quickly to changing priorities. In this role you will be exposed to a range of policy and operational issues.

The job holder will work to the Chief of Staff.

As part of this role, you will be expected to:

Manage, organise, filter and prioritise information and requests coming into the office via the Directors Support Team mailbox and Directors inboxes.

Make sound decisions when responding to emails, identify priorities, correct escalation routes and ensure deadlines are met and actions are followed up.

Provide timely and professional briefings and recommendations as required.

Commission work from individual commands and others as appropriate, supervising responses and drafting briefings.

Effective planning and management of the Director and Deputy Director’s commitments to ensure best use of their time.

Bringing the appropriate issues to the Chief of Staff and Regional Director’s attentions and helping to manage risks and find solutions.

Manage the process of communicating decisions, comments and requests, on behalf of the Director/wider Leadership Team.

Ensure briefing and agenda items are commissioned and relevant papers prepared in advance of meetings and attend meetings as required to take minutes.

Ensure meeting arrangements are made with sufficient notice to ensure meetings run as smoothly as possible.

Align visits to the Director’s wider objectives, prioritise against and fit in with other appointments.


Essential skills for this role:

The ability to work in a fast paced environment.

The ability to prioritise work streams and fast pace task switch.

Experience of working in a private office or similar, including working with senior management.

Experience at using all elements of Microsoft Office.

Demonstrate working in a flexible manner.

Secretariat experience including minute taking at senior management meetings.

Ability to make sound decisions based on evidence available on behalf of the Directors.

Desirable criteria:

Line management experience.

The Director’s Support Team provides multi-functional support to the Directors within Central Region. This is a high-profile role which provides the right candidate with an excellent opportunity to gain strategic insight into Border Force at a Regional Level. You will have the opportunity to attend meetings in Marsham Street and Croydon, the epicentre of the Home Office / Border Force, and, where appropriate, have contact with senior managers in order to ensure that Central Region is aligned to national priorities.
